How to put a QR code on a business card that actually scans

Updated 7 min read

Written for anyone designing a paper business card, badge or event pass who wants the QR code to scan in half a second without a monthly fee

Short answer

A business card QR code works in one of two ways: a vCard code stores your contact record directly inside the squares so a phone can save your details offline, while a link code opens a webpage you can edit later. Whichever you choose, use a static QR code exported as a vector SVG and print it at least 20 by 20 millimetres with a light border around all four sides, so it scans on the first try and never stops working behind a paid redirect.

Most business card QR codes fail for one of two avoidable reasons. Either the designer crammed an entire street address, three phone numbers and a bio into a vCard until the squares shrank into an unreadable grey blur, or they used a “free” online generator that secretly put a tracking redirect inside the code and started asking for $15 a month two weeks after 500 cards came back from the printer.

Getting a business card QR code right takes five minutes once you understand what the camera is actually reading.

Before you generate the code, decide what should happen the moment someone points an iPhone or Android camera at your card.

OptionWhat the phone does on scanBest whenWatch out for
Static vCard QR codeOpens the phone’s built-in Contacts sheet with your name, company, phone, email and website pre-filled, ready to tap Save.Trade shows, conferences, basements and flights where mobile data is slow, or when you want your number in their address book immediately.Holds 150 to 300 characters, so the grid is denser than a short link. Cannot be changed after printing if you switch phone numbers.
Static URL QR codeShows the domain name in a banner and opens your webpage, portfolio, booking calendar or /contact page in Safari or Chrome.Consultants, designers, restaurants and founders who want visitors to see work samples or book a call, or who want to update details on their own domain later.Needs an internet connection at scan time. If you let your domain expire, the printed card points to a dead link.
Third-party dynamic QRSends the scanner to a middleman short-link server first, logs their IP address and time, then redirects to your page or hosted card.Rarely worth the risk on paper cards you expect to hand out for years. If the vendor changes pricing, shuts down or flags your account, every printed card in wallets and desk drawers stops working.

If you own your own domain (for example jane.example/card), you get the best of both worlds without a third-party middleman: encode your own short URL as a static QR code. Your code has very few squares, scans from further away, costs nothing per month, and you control what lives at that URL on your own web host.

If you do not want to maintain a webpage, a static vCard QR code is the most reliable choice. According to Apple Support’s guide on scanning QR codes on iPhone, the built-in Camera app recognises contact codes directly and offers to add the card to Contacts without opening Safari.

What goes inside a vCard QR code (and what to leave out)

A vCard QR code is plain text formatted according to the IETF’s vCard directory standard (RFC 2426 / RFC 6350). When a phone camera decodes the squares, it reads a block that looks like this:

BEGIN:VCARD
VERSION:3.0
N:Lindqvist;Anna;;;
FN:Anna Lindqvist
ORG:North Studio
TITLE:Principal Architect
TEL;TYPE=CELL:+14155550192
EMAIL:[email protected]
URL:https://northstudio.example
END:VCARD

Every extra character forces the QR code (defined by ISO/IEC 18004) to step up to a higher version with more rows and columns. On a standard 85 by 55 millimetre (3.5 by 2 inch) business card, module density determines whether a camera locks on instantly or hunts for focus.

FAST SCAN (20 MM) Lean vCard (5 fields) Name, org, mobile, email, short URL ~175 chars · L/M Wide squares survive ink spread 4-module white quiet zone kept clear HARD TO SCAN Bloated vCard Street address, bio, long tracking URLs 500+ chars · Level H Tiny dots merge on uncoated card stock Needs close macro focus and bright light
Keeping a vCard under 200 characters at error correction L or M produces wide squares that scan quickly even on textured paper stock.

To keep the squares large and reliable:

  • Keep five or six core fields: first and last name, company, job title, one phone number (in international +1... or +44... format so it dials from any country), one email address and one clean website URL.
  • Print your mailing address on the card, not inside the QR code: a full street address, suite number and postcode adds 60 to 90 characters that almost nobody needs auto-filled into their phone book.
  • Trim URL parameters: write https://example.com rather than https://www.example.com/?utm_source=businesscard&utm_medium=print&utm_campaign=q4_events.
  • Pick error correction L (7%) or M (15%) for vCards: higher error correction (Q or H) adds up to 30% more redundancy squares, which shrinks every square in an already-long contact record. Reserve Q or H for short URL codes.

How to make a business card QR code

You can build either a vCard contact code or a direct link code in our free QR code generator, which runs inside your browser tab without uploading your contact details.

  1. Open the QR code generator and select Contact for an offline address book card, or Link for a website URL.
  2. Enter your name, organisation, title, phone number with country code, email address and website, and watch the live preview as you type.
  3. Set Error correction to L or M for a vCard, or M for a website link, and keep a dark foreground colour on a white background.
  4. Click Download SVG to give a crisp vector file to your print designer, or Download PNG at 1024 pixels if your layout tool only accepts raster images.
  5. Test the downloaded code on screen and on a home-printed sheet at full scale with both an iPhone camera and an Android camera before ordering a print run.

A QR code that scans instantly on a backlit laptop monitor can still fail on a printed card if the physical squares are too small, the ink bleeds into the white gaps, or a glossy laminate reflects overhead spotlights into the camera lens.

SpecificationRecommended target for business cardsWhy it matters
Minimum printed size20 × 20 mm (0.8 × 0.8 in) for URLs; 22 to 25 mm (0.9 to 1.0 in) for vCardsBelow 20 mm, older phone cameras without a macro lens cannot resolve the individual modules of a vCard at normal hand-holding distance.
Quiet zone (margin)4 modules of plain light background on all four sides (included automatically in our SVG/PNG export)The scanner uses this blank border to separate the three corner finder squares from surrounding text, borders or card edges.
File format for printSVG (or vector PDF/EPS)Vector shapes rasterise at the printing press’s full 1200 to 2400 DPI plates instead of blurring into grey anti-aliased pixels.
Colour contrastDark ink (at least 70% darkness) on a white or pale matte backgroundQR scanners threshold the image into black and white. Pale pastel codes, gold foil or metallic inks reflect light unpredictably and fail in dim bars or conference halls.
Card finishMatte, silk, uncoated cotton, or spot-UV kept off the QR squareHeavy gloss UV coating over the QR code acts like a mirror under ceiling lights, blinding the phone camera until the card is tilted.
PlacementAt least 5 mm away from the trim edge and away from thumb grip areasKeeps fingers from covering a corner finder pattern while holding the card and prevents print-bleed trimming from slicing into the quiet zone.

What a business card QR code gives away (privacy and security checklist)

Putting a QR code on a card you hand to strangers has two privacy angles: what you reveal about yourself, and what your card asks the other person to trust.

  • Personal mobile numbers versus work numbers: a vCard QR code drops your phone number straight into the scanner’s Contacts app, which many messaging and social apps immediately sync to match “people you may know” profiles. If you keep your personal mobile number private, put a work line, Google Voice / business number or email-only record inside the vCard.
  • No take-backs on static vCards: once 250 people have your card in a drawer, the vCard printed on it can always be scanned. Do not encode a temporary hotel number, personal home address or private calendar link.
  • Visible destination domains build trust: security advisories, including the FBI IC3 public service announcement on QR code tampering, warn people against scanning codes that hide their destination behind opaque URL shorteners. If you encode a website link, use your real, readable company domain and print the human-readable URL right underneath the QR square so cautious contacts can type it themselves.
  • Storing cards you receive: when you photograph someone else’s business card, passport or contract at a conference, that image sits in your main Photos library, backs up to the cloud and shows up whenever you scroll your camera roll next to a colleague. Moving photographed IDs, receipts and sensitive business cards into an encrypted vault on your phone keeps them separate from everyday holiday photos, and running exported images through the photo metadata remover strips GPS coordinates before you email a photo onward.

Questions

Should a business card QR code be a vCard or a website link?

Use a vCard QR code when the goal is getting your phone number and email straight into someone’s Contacts app, even in a conference basement with poor reception. Use a website link when you want visitors to see a portfolio, booking page or contact details you might update after printing.

What is the minimum print size for a QR code on a business card?

Print a business card QR code at least 20 by 20 millimetres (0.8 by 0.8 inches), including its four-module quiet zone. For dense vCard codes with several fields, 22 to 25 millimetres scans noticeably faster in dim indoor light.

Why does my vCard QR code look so dense and hard to scan?

Every character you add forces the QR matrix to use a higher version with smaller squares. Keep only your name, organisation, title, one phone number, one email and one short URL. Drop street addresses, notes and secondary numbers.

Do business card QR codes expire?

A static vCard or URL QR code never expires because the text is encoded directly in the printed squares. Only dynamic QR codes routed through a third-party tracking service can expire or lock behind a subscription after you print your cards.

Should I send my printer a PNG or an SVG file?

Always place an SVG (or vector PDF/EPS converted from SVG) into your business card layout. Vector paths print at the press’s full native resolution without fuzzy edges or JPEG compression halos.

Can I print a white QR code on a dark business card?

Many phone cameras struggle with inverted QR codes (light squares on a dark background). If your card stock is dark navy or black, place the QR code inside a white rounded-rectangle badge that includes the four-module quiet zone.
